The 8-Week Long-Distance Moving Checklist

A realistic week-by-week timeline for an interstate move. Booking, packing, school records, utilities, and the moving-week sprint.

Quick Answer
When should I start planning a long-distance move? Start 8 weeks ahead for peak season (May–September) and at least 4–6 weeks for off-season. Week 8: book the carrier. Week 6: declutter. Week 4: records and services. Week 3: address and utilities. Week 2: packing sprint. Week 1: final countdown.

Lock the carrier and the date

  • Get 3 written interstate quotes from licensed carriers
  • Verify each at safer.fmcsa.dot.gov
  • Schedule a virtual or in-home inventory survey
  • Book your move date — peak season fills 4+ weeks in advance
  • Start a moving binder for receipts, contracts, school records
Week 6 — 5 weeks out

Declutter aggressively

  • Room-by-room sort: keep, sell, donate, trash
  • Sell furniture you don’t love — at $0.65/lb, every couch you ship costs you
  • Schedule donation pickups (some take 2–3 weeks)
  • List large items on Facebook Marketplace or local resale
Week 4 — 4 weeks out

Records, schools, services

  • Request school records transfer for K–12 kids
  • Pull pediatric and dental records to take with you
  • Notify your landlord (most leases require 30–60 days)
  • Research new doctors, vets, dentists at the destination
  • Order packing supplies if self-packing
Week 3 — 3 weeks out

Address & utilities sweep

  • USPS Change of Address — moversguide.usps.com
  • Update bank, credit card, brokerage addresses
  • Plan driver’s license / vehicle registration update for destination state
  • Schedule utility shutoff at origin: electric, gas, water, internet, trash
  • Schedule utility setup at destination
  • Notify HOA / condo board if applicable; reserve loading docks and elevators
Week 2 — 2 weeks out

The packing sprint

  • Start with off-season items, books, decor
  • Label every box with room + brief contents + fragile flag
  • Take photos of electronics cable setups before disconnecting
  • Pack a “first night” box: bedding, towels, toiletries, chargers, basic kitchen
  • Pack an “essentials” suitcase per person (5–7 days of clothes)
  • Drain gas/oil from lawn equipment — carriers can’t transport flammables
  • Defrost the freezer 48 hours before move day
Week 1 — Move week

The 7-day countdown

  • Day 7: Confirm move date, time window, crew lead’s contact
  • Day 5: Cash + small bills for tips ($20–$40 per crew member)
  • Day 3: Withdraw cash; secure passports, jewelry, hard drives
  • Day 2: Refill prescriptions for 60+ days at destination
  • Day 1: Final walkthrough; clean appliances
  • Move day: Be present at load-in; verify the inventory sheet before signing the bill of lading
